Time tracking for engineers and architects

Hours per project, even when you switch all day

From sketch to structural model, from drawing to specification. Okloq sees which project you are working on and keeps track of it while you design. At the end of the day you approve the suggestion.

How it works

The project number is already in the folder name

A firm that numbers its project folders neatly has already done the groundwork.

Okloq reads the project list from your folder structure, even when projects are grouped by year in a parent folder. When someone opens a drawing, calculation or report from a project folder, that time belongs to that project. Which program it is does not matter: Okloq reads the window title, and for Word, Excel and PowerPoint also the file path. If the project number is in the file name, Okloq also recognises it in your CAD and calculation software.

  • Hours per project, per dayAlso usable as the basis for accounting for hours per project.
  • Internal hoursTime that belongs to no project can go to a single internal number.
  • Meetings count tooDuring a call in Teams or Zoom the time keeps running. You include business phone calls with the app for Android and iPhone.

Budget per project

See during the work whether the budget will hold

Set the budgeted hours for a project in the portal. In the portal and in the day overview you see what has been used and what remains, based on approved hours.

  • Fixed priceYou record hours on a fixed-price project as usual, but they do not appear on an hourly invoice.
  • Extra workIf you tick a line as extra work, it falls outside the budget and is billed by the hour.

How Okloq works

After approval

To your project administration

Approved hours go automatically to Simplicate, Gripp, Exact Online, Moneybird, Productive, Scoro, Teamleader Focus, Toggl Track, Harvest, Clockify or Everhour. If you work without such software, you take them with you as a PDF report or CSV file.

All integrations

Where it falls short today

Okloq measures time at the screen. Sketching on paper, a site meeting without a laptop and a visit to the construction site are not included automatically; you add that time in the day overview. For a scheme that requires watertight time records, such as the Dutch WBSO R&D tax credit, Okloq is an aid, not a replacement for those records.

Questions from firms

What you want to know before you start

Which plan suits an engineering or architecture firm?

Office, for teams. If you work alone, Solo. Prices are on the Pricing page.

Does it work with project folders on SharePoint, Dropbox or a network drive?

Yes, if the laptop can open the folder as a normal folder. You can also save the project list from Excel. With the test button in the settings you see which projects are found.

Can management see what employees do all day?

No. The portal only shows approved hours per project and per type of work. Which programs and files someone had open stays on the laptop.

Which computers does it work on?

On Windows 10 and 11. The Mac version is still in testing.

Try it on your own projects

Okloq is in beta. The trial has five seats; after thirty days the app stops by itself and no invoice follows.
