Frequently asked questions

Questions, and the answers as they stand today

Including the answers that are less convenient for us. If your question is not here, just ask.

About measuring

What exactly does Okloq measure?

Which window is in front: the program and the title. For Word, Excel, PowerPoint and File Explorer also the file path or folder, and for Outlook the subject of the open email. Beyond that, how long the keyboard or mouse has not been used. That is all.

Does Okloq record keystrokes or screenshots?

No. Okloq does not read what you type, takes no screenshots and does not read the content of documents, emails or web pages.

What happens if I step away?

After five minutes without keyboard or mouse the measurement stops, at the moment of your last input. A locked screen and sleep mode do not count.

And a video call where I do not type anything?

During a call in Teams or Zoom the time keeps counting. To do that, Okloq reads in Windows whether the microphone is in use by that program. The call itself is not recorded or listened to.

How does Okloq know which project something belongs to?

By looking for the project number in the window title, the file path or the email subject. The firm enters two or three example numbers; from those, Okloq works out what a number looks like. Only numbers in the firm’s project list count.

What if the project is not recognised?

Then that time appears in the day overview as ‘unassigned’. You assign it to a project with a single choice, or you leave it; unassigned time is not booked. If the firm has set up a project for internal hours, the time goes there.

Does Okloq also measure work away from the laptop?

No. A hearing, a meeting without a laptop or a site visit is not included. You can increase the time of a line in the day overview; a project for which nothing was measured that day you currently still enter in your software. A phone app for business calls is in development.

Can I stop the measuring?

Yes, with Pause in the icon’s menu. Nothing is then recorded until you resume or the app restarts.

About privacy

Can my employer see what I do?

No. Your employer sees the hours you have approved: per day, per project and per type of work, with the description. Not which programs or documents you had open, and not what you worked on at what time. That data never reaches the service. More about this.

What is in the description of a time entry?

Okloq can make a suggestion based on the window title, the file name or the subject of an email, for example ‘Word: Conceptdagvaarding’. You see and edit that text before you approve. After approval it goes along to the firm and your software. The firm can switch the suggestion off.

How long do the measurements stay on my laptop?

Window titles, file paths and email subjects are deleted after thirty days. The start and end times of the measurements remain, as do the hours you have approved.

Can someone from Okloq look at my screen?

Only if you start it yourself. Via Help you share the version, the settings and the error log once; the code for this works for half an hour. To share your screen, you open Quick Assist in Windows and approve there what is shared. Both are recorded in your firm’s activity log.

Where are the approved hours stored?

In the Okloq service, which will be hosted in a data centre in the European Union. The provider has not yet been chosen. And in your own software, once they have been sent.

Do I need to arrange anything as an employer?

Yes. You remain responsible for informing your employees and for the balancing exercise under the GDPR; this often includes a DPIA and, if you have a works council, its consent. Read the explanation for employers. That is not legal advice.

About installation and technology

Which computers does Okloq run on?

On Windows. A Mac version is being built; it has not yet been tested on a Mac and is not yet available.

Why does Windows show a warning during installation?

Because the installer is not yet digitally signed. Windows then does not know the publisher and may show a warning. Signing is planned before the first release.

How does the app stay up to date?

The app fetches new versions itself and uses them at the next start. Work is not interrupted for it.

Does it work without internet?

Measuring and approving happen on the laptop and need no connection. Approved days are sent as soon as there is a connection again. After fourteen days without contact with the service, a connected laptop stops measuring until it has been in contact again.

Does it work with projects on a network drive, SharePoint or Dropbox?

Okloq reads the project list from a folder the laptop can open as an ordinary folder, locally or on the network, or from a list you save from Excel. For recognition during work, what counts is what appears in the window title and the file path. Whether that works out well with your setup, we would rather test with you than promise here: the settings have a test button that shows which projects are found.

Can I bring over my earlier hours from another program?

There is a way to import measurements from another time-tracking program, intended for the specialist when you switch over. That is custom work per program; ask us about it.

About the product

Can I use Okloq already?

Okloq has been built but not yet released. You can request a demo; in it we also discuss when and how your firm can start.

Which software does it work with?

Integrations have been built for Moneybird, Exact Online, Simplicate, e-Boekhouden and SnelStart, for the time-tracking tools Toggl Track, Harvest and Clockify, and for your own system via a web address. They have not yet been tested on real accounts. The export file and the hours report as PDF always work. Status per integration.

Can I keep a budget per project?

Yes. The administrator sets a project’s budgeted hours in the portal. The portal shows what has been used and what remains, and employees see in their day overview the total for the whole firm on that project, without names and without amounts. Only approved hours count, and hours an employee marks as extra work fall outside the budget. There is no monthly budget. More about budgets.

What happens to the hours on a fixed-price project?

They are recorded and approved as usual, but do not appear on an hours-based invoice: on the Invoicing page they are in a separate block, and you invoice the fixed price yourself in your software. To software that accepts hours they go as non-billable, where the software supports that. If an employee marks a line as extra work, it falls outside the fixed price: those hours do appear on the hours-based invoice and go to your software as billable. Status per integration.

What does it cost?

For firms it is €35 per user per month, excluding VAT. Freelancers pay €15, firms that bill by the hour €49. Paying yearly is 15 to 20% less. Firms pay a minimum of €69 per month. The 30-day trial is free. More about pricing.

Is Okloq certified?

No. There are no certifications and no security test has yet been carried out by an external party. The Privacy and security page lists the measures built into the software.

Who is behind Okloq?

Okloq is published by Constructim B.V..
