1. Who we are
Okloq is a product of Constructim B.V., Antoniusstraat 30, 5038 DK Tilburg, the Netherlands, registered with the Dutch Chamber of Commerce (KvK) under number 91374693. For questions about privacy you can reach us at tim@constructim.nl.
This statement covers two things: this website, and the Okloq product. For the website, we are the controller of the data. For the product, the firm using Okloq is the controller and we are the processor.

Contact form
If you fill in the contact form, we process your name, the name of your firm, your email address, your phone number if given, and anything else you enter. We use this data only to reply to your message and, if you ask for it, to arrange a demo. The legal basis is your consent and our legitimate interest in answering questions.
We keep your message no longer than necessary to deal with it, and at most [PERIOD] after the last contact, unless you become a customer.
3. The Okloq product
Okloq is built so that the raw data about the work stays on the employee’s laptop. A detailed explanation is on the Privacy and security page. In summary:
| Data | Where | How long |
|---|---|---|
| Program, window title, file path, subject of the open email, start and end time of measurements | Only on the employee’s laptop, in an encrypted file | Window titles, paths and subjects: thirty days. After that they are deleted. |
| Approved hours: date, project number and name, type of work, number of minutes, description | On the laptop and, after approval, in the service and in the firm’s software | In the service: [PERIOD]. The description is deleted from the service as soon as the line is in the firm’s software. |
| Name and email address of employees, laptop name, app version, time of last contact | In the service | As long as the employee is registered with the firm, plus [PERIOD] |
| Activity log: sign-ins, changes, remote support | In the service | [PERIOD] |
| For help from a specialist: the app’s version, settings and error log | In the service, after the employee shares them | [PERIOD] |
| When using the phone app or a phone system: number, direction, time and duration of business calls | On the phone; calls from a phone system temporarily in the service | Calls from a phone system: at most thirty days in the service |
Okloq does not record keystrokes, takes no screenshots and does not read the content of documents or emails.
Roles
The firm using Okloq determines the purpose for which hours are recorded and is therefore the controller. We process the approved hours on behalf of the firm. The arrangements for this will be set out in a data processing agreement. A draft of it is available on the page Data processing agreement.
If you work for a firm that uses Okloq and have a question about your data, your employer is the first point of contact.
4. Who we share data with
We do not sell data. We only engage parties needed to provide the service:
- the hosting provider of the service, established in the European Union: [HOSTINGPARTIJ, EU];
- the firm’s software, to which the approved hours are sent on the firm’s instructions;
- [OTHER SUB-PROCESSORS, FOR EXAMPLE EMAIL AND ACCOUNTING].
Data is not stored outside the European Economic Area. [TO BE CONFIRMED ONCE ALL SUPPLIERS ARE KNOWN]
5. Security
The measures built into the software are listed on the Privacy and security page. It also states what has not yet been done.
6. Your rights
You have the right to access your data, to have it corrected or deleted, to object to its use, to have its use restricted and to receive your data. You can withdraw consent you have given at any time. Send your request to tim@constructim.nl; we will respond within one month.
If you disagree with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or with the supervisory authority in your own country.
7. Changes
We may amend this statement. The date at the top shows which version you are reading.
