Time tracking for accountants

Many clients in one day, without reconstructing

A tax return here, a question there, a set of annual accounts that stays on the pile. Looking it all up afterwards takes time and is rarely right. Okloq lays out your day automatically per client and per type of work. You check it and approve.

How it works

The client number shows the way

In the client's folder name, in the file name of the workbook, in the email subject.

Okloq looks for the number in the window title, in the file path for Word, Excel and PowerPoint, and in the subject of the open email in Outlook. Okloq reads your project list from a folder on the laptop or the network drive, or from a list you save from Excel. At the end of the day a suggestion is ready.

  • Type of work per lineSuch as compilation, tax return or advice, adjustable before you approve.
  • Internal hours kept separateTime that belongs to no client can go to a single internal number.
  • Fixed price and extra workAnnual accounts at a fixed price? Set the budget and see during the work whether it fits. You tick extra work separately; that is billed by the hour.

After approval

Hours or invoice, in the software you already use

  • As hoursTo Moneybird, Exact Online, Simplicate, Gripp, Productive, Scoro and Teamleader Focus.
  • As a draft invoiceTo e-Boekhouden, SnelStart, Jortt and Rompslomp: per client per month, with the hourly rate you set per employee in the portal. Nothing is sent out automatically.
  • As a report for the clientThe hours report as PDF, per month, with a summary per project. And a CSV file for any other software.

All integrations

Where it falls short today

If your firm works all day in a single online application, the window title often contains no client number. Okloq then does not recognise the client automatically; you assign that time by hand in the day overview. There is no integration yet for Twinfield. The integrations have been built and are now being tested with the first users on real client records.

In a team

Insight per client, without looking over shoulders

In the portal you see the approved hours per client and per employee, track budgets and set the settings for the whole firm. What someone otherwise did on their laptop, you do not see: window titles, file names and email subjects stay on the laptop and are deleted after thirty days. The approved hours are stored on servers in the EU.

Questions from accountants

What you want to know before you start

Which plan suits an accounting or bookkeeping firm?

Usually Office. If you mainly bill by the hour, as with tax advice, Hourly billers fits. Prices are on the Pricing page.

Does it work with client folders on a network drive, SharePoint or Dropbox?

Okloq reads the project list from a folder the laptop can open as a normal folder, or from a list from Excel. With the test button in the settings you immediately see which clients are found.

What if a client is not recognised?

Then that time is shown as unassigned in the day overview. With one choice you assign it to a client, or you leave it: unassigned time is not booked.

Which computers does it work on?

On Windows 10 and 11. The Mac version is still in testing.

Okloq is in beta. The trial has five seats; after thirty days the app stops by itself and no invoice follows.
