Automatic time tracking for professional firms

The laptop measures. The employee approves. The firm only sees hours.

Okloq keeps track on the laptop of which project someone is working on and turns that into a proposed timesheet at the end of the day. Only after approval do the hours go to the firm. Windows, files and times of day never leave the laptop.

  • For Windows and Mac
  • Service hosted in the EU

Per line: project, type of work, hours and the description the employee has checked. No windows, not when the work was done. The hour without a project stays behind.

Example with made-up data. On the left, eight measurements from one day as they are stored on the laptop, with program, window title and start and end time. On the right, the five time entries that go to the firm after approval, 5 hours and 15 minutes in total.

A working day

Nobody has to start a timer

Okloq runs in the system tray and measures by itself. The employee only sees the result once the day is done.

  1. 08:30Measure

The program looks at which window is in front

Every two seconds: which program, which title, and for Word, Excel, PowerPoint, File Explorer and Outlook also the file path or the subject of the open email. If it contains a project number your firm knows, the time belongs to that project.

  2. 17:10Day overview

One line per project and type of work

With a timeline of the day above it and, for each line, the reason: the document or email in which the number appeared. Project, type of work, time and description can all be edited.

  3. 17:12Approve

    The employee decides

One button. Until that moment the firm knows nothing about this day. After that, only the lines from the overview go to the service: project, type of work, hours and description.

  4. 17:13Send

The hours go on to your software

As a time entry, as a monthly invoice or as a file, depending on your software. If a line fails, the service tries again and the administrator sees in the portal what got stuck.

All steps in detail

The day overview

Approving is quicker when you can see why

A proposal you have to recheck saves no time. That is why each line shows where the project number came from.

  • Only existing projects countA number only counts if it is in your firm’s project list: your folder structure or a list from Excel.
  • Recognising numbers without programmingThe administrator types two or three real project numbers; from those, Okloq works out what a number looks like.
  • Rounding without shifting the day totalTo six minutes or to the quarter hour.
  • Time without a projectStays as ‘unassigned’ and is not booked, or goes to a project for internal hours if your firm sets that up.
  • Budget in view for fixed-price workIf the firm sets budgeted hours for a project, the day overview shows how much has been used, and a notification follows when the budget is almost used up.
The day overview in the Windows app, redrawn with made-up data. Each line shows where the project number was found; for the project with a budget, also how many hours the whole firm has already spent on it, and a checkbox for extra work.

Privacy

A timesheet, not a tracking system

The difference lies in what the service can receive. The messages from laptop to service have no field for window titles, file paths or programs. What does not fit in them cannot leave the laptop.

Stays on the laptop

Only the employee sees this.

  • Window titles and programs
  • File paths and email subjects
  • Start and end times, breaks
  • Everything that has not been approved

Goes to the firm

Only after approval, per day.

  • Project number and name
  • Type of work
  • Number of minutes
  • The description as approved by the employee

Never recorded

Not on the laptop and not by us.

  • Keystrokes
  • Screenshots
  • The content of documents and emails
  • Audio of conversations

Privacy and security, for employer and employee

Integrations

The hours end up where you invoice

Okloq is not accounting software and does not want to become it. Approved hours go on to the software you already use.

Integrations have been built for Moneybird, Exact Online, Simplicate, e-Boekhouden and SnelStart, for the time-tracking tools Toggl Track, Harvest and Clockify, a web address for your own systems and an export file whose columns you set yourself.

To be honest: the integrations were built from the public documentation of each product and have not yet been tested on real accounts. So we set up the integration together with you and test it on your own accounts.

Who it is for

For firms that record hours against projects

Lawyers and legal professionals

Billing in six-minute units demands precision, and it is precisely the short email and the quick phone call that get lost. Okloq captures the work outside your practice management system: Word, Outlook, PDFs, Teams.

Law firms

Engineers and architects

The project number is already in the folder name and the file name. That is exactly what Okloq reads, so recognition works without setting anything up per project.

Engineering firms

Accountants and advisers

Many clients and separate tasks mixed together in a single day. At the end, each client project shows what was done, ready to send to your software.

Where we stand

What is finished, and what is not

Okloq has been built but not yet released. We would rather you read that here than find out after a demo.

  • Built

Windows app. Measuring, recognising projects, day overview, approving, budget status per project, export file, pausing, remote support from a specialist.

  • Built

Service and portal. Employees and devices, settings for the whole firm, approved hours, budgets per project, invoicing, activity log, hours summary as PDF.

  • Still to be tested

Integrations. Built for eight products, not yet tested on real accounts.

  • Still to do

Signed installer. The installer is not yet digitally signed; that is planned before the first release.

  • Still to choose

Hosting. The service will be hosted in the EU; the provider has not yet been chosen.

  • In development

Phone app for business calls. It has been built and tested on an Android phone, but not yet on an iPhone, and it is not yet available for download.

  • In development

Mac. A Mac version is being built. It has not yet been tested on a Mac and is not yet available; Okloq currently runs on Windows.
